The CP Law Group, LLC is a reputable law firm specializing in Personal Injury law. We are dedicated to providing our clients with exceptional service and legal representation. We are currently seeking a detail-oriented and professional Digital File Clerk / Receptionist to join our elite team.

Position Summary:

The Digital File Clerk & Backup Receptionist is responsible for maintaining accurate, organized, and confidential electronic records for all firm departments, including HR, Legal, and Operations. This position ensures that all digital filing systems are up-to-date and compliant with firm policies and retention standards. The role also serves as a backup receptionist, providing front-desk coverage and administrative support as needed.

Key Responsibilities:

Digital File Management

  • Create, organize, and maintain electronic files in accordance with established naming conventions and document retention policies.
  • Scan, upload, and categorize incoming documents into the firm’s digital filing system.
  • Regularly audit digital folders to ensure files are complete, current, and correctly labeled.
  • Protect the confidentiality and integrity of sensitive client and employee information.
  • Assist in converting paper files into digital formats when necessary.
  • Support department heads with locating and retrieving electronic documents upon request.

Backup Receptionist Duties

  • Provide front-desk coverage during breaks, lunches, or absences of the primary receptionist.
  • Greet and assist visitors, clients, and vendors in a professional and courteous manner.
  • Answer and route incoming calls, take accurate messages, and ensure timely follow-up.
  • Manage incoming and outgoing mail, deliveries, and courier requests.
  • Maintain the reception area to ensure a clean and welcoming environment.

Administrative Support

  • Assist with general clerical duties such as data entry, scanning, and document formatting.
  • Support the In-take Department with special projects as assigned.
  • Maintain confidentiality at all times regarding firm and client matters.

Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • 1–2 years of administrative or clerical experience in a professional office setting.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
  • Ability to handle confidential information with discretion.
  • Excellent verbal and written communication skills.
  • Professional demeanor and customer service orientation.

Work Schedule:

  • Monday – Friday, 9:00 a.m. – 5:00 p.m.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.

Compensation: Competitive compensation package commensurate with experience.
